Attendance should not become difficult to manage because the person who normally handles it is on leave. Without a handover, a backup administrator may not know which report to prepare, who approves a correction or whether a QR display needs refreshing.
A short attendance admin handover keeps the routine understandable. Use ScanAttendance as the place to review your digital attendance records, and document the responsibilities that sit around those records.
List the tasks that happen each day
Start with a normal working morning. Record who checks the attendance display, who answers employee questions and who reviews incomplete entries. If the office uses a daily code or a screen display, include the practical steps needed to keep it available.
Write instructions that a colleague can follow without the original administrator standing beside them. Include the intended outcome of each task, not just a sequence of clicks that may change when the interface is updated.
Arrange authorized access before the handover
Confirm how the backup administrator will obtain the access they are permitted to use. Follow the product’s supported account arrangements and your company’s access policy. Do not assume a plan includes unlimited administrators or particular permission controls without checking.
Avoid putting passwords into an ordinary handover document. If you need clarification about the supported setup for another administrator, ask sales or support before the primary administrator leaves.
Transfer open questions with a next step
A list of unexplained attendance gaps is not a complete handover. For each open item, state what is missing, whether the employee has been contacted and who is responsible for deciding the outcome.
- Employee identifier and date concerned.
- A brief description of the question.
- The latest response or current status.
- The authorized reviewer.
- The next action and its deadline.
Keep this information in the company’s approved private system. Limit the details to what the receiving administrator needs and follow your employee information access rules.
Explain the reporting calendar
Record the reporting period, correction cutoff and person receiving each report. Confirm whether the recipient needs a CSV, a PDF or simply a dashboard review, and verify that the selected plan includes the required option.
Include the file naming convention and approved storage location. If the backup administrator will prepare exports, test a sample together. Our CSV checking guide covers identifiers, date interpretation and incomplete values before handoff.
Walk through one real review together
Before the primary administrator is away, ask the backup colleague to complete a normal review while the primary observes. Check whether they can find the right period, identify an unresolved question and explain where it goes next.
Use the exercise to improve unclear instructions. The goal is continuity, not memorizing every feature. For a recurring review routine, see our weekly attendance review guide.
Close the handover when responsibility returns
At the end of the cover period, review unresolved items and confirm which reports were delivered. If the change is permanent, review access through your company’s normal process and make the new owner clear to employees.
ScanAttendance can give your team a consistent digital attendance workflow. A clear handover makes that workflow easier for another authorized colleague to manage.
