A missing check-out is easier to explain on Friday than several weeks later. Yet many small teams leave attendance questions until the end of the month, when supervisors are busy and employees have forgotten what happened.

A weekly attendance review gives those questions a regular place in your routine. ScanAttendance can support that routine with QR attendance records and dashboard visibility, while your manager handles the decisions that require context.

Choose one review period and one owner

Set a recurring internal review time and identify who prepares the records. Specify the dates being reviewed so an employee and their supervisor are discussing the same period. If your working week crosses a month boundary, keep the review period clear instead of silently changing it to fit a calendar month.

The review owner should know whom to ask about a record and who has authority to approve a correction. A shared responsibility without a named owner can leave every exception waiting for somebody else.

Focus on records that need an explanation

Begin with attendance records in the dashboard. Look for incomplete entries, unexpected absences and times that do not match the agreed schedule. Do not turn every difference into a conclusion about an employee’s performance.

This is a suggested management checklist, not a claim that the software automatically classifies or resolves each exception.

Ask a precise question instead of sending a general reminder

“Please fix your attendance” leaves the employee guessing. A better request identifies the date, the entry that needs clarification and the response deadline. For example: “Thursday has an arrival entry but no departure. Please confirm your departure time and whether you missed the scan.”

Keep individual questions in the appropriate private channel. Give employees a way to review their own records and raise concerns, rather than sharing a team-wide list of attendance disputes.

Close each question with a clear outcome

Follow your company’s approved correction process. Record whether the question was resolved, who reviewed it and whether any further action is required. If the matter is still open, give it a next step and a responsible person.

A weekly review should improve the quality of the records, not become an informal replacement for your company’s attendance policy. Apply the same review standards consistently and keep payroll decisions with the authorized reviewer.

Use recurring questions to improve your process

If several employees miss the same step, review the instructions and the QR display before sending more reminders. Is the code visible? Does everyone understand the departure process? Is there a clear fallback for an unavailable phone?

Our employee attendance onboarding checklist can help you explain those expectations. When the weekly records are ready for month-end review, use the payroll preparation checklist to check the final reporting period and export requirements.

Make next week easier to review

Consistent records and timely questions give your team a more manageable attendance routine. Start collecting QR attendance in ScanAttendance, choose a review owner and test the process for a full working week.
