In a small shop, the person opening the premises may also prepare the counter, receive stock and answer staff questions. Attendance needs to fit that routine without adding another unclear task.

ScanAttendance offers phone-based QR attendance and a dashboard for reviewing records. For a retail team, begin with a simple check-in point and clear responsibilities before extending the process to everyone.

Choose an employee check-in point

Place the code where staff naturally pass before starting work, with enough room to stop briefly. Avoid a position that blocks customers, deliveries or an emergency exit.

Test the display during normal opening conditions. A reflective window or a busy counter may make an otherwise readable code awkward to use. Keep the attendance instructions distinct from customer-facing promotional codes.

Agree on arrival and departure expectations

Explain the attendance actions employees should complete and how those relate to their agreed schedule. If staff have different working arrangements, confirm each arrangement rather than applying one opening time to everyone.

A recorded arrival is attendance information, not proof that every opening task was completed. Keep stock preparation, cash handling and other operational checks in their appropriate processes.

Give the display a daily owner

Decide who checks the display before staff arrive and who covers that task on their day off. Static, Daily and Rotating QR modes have different maintenance needs; confirm which mode your selected plan provides.

A printed code needs readability checks. A daily replacement needs an opening task. A screen display needs power and the current code visible. Our QR mode comparison helps you choose an approach your shop can maintain.

Plan for exceptions before the first busy morning

Tell employees whom to contact if a phone is unavailable, a connection fails or an attendance entry is missing. Have the responsible person review the question through the company’s approved process.

Do not assume that a message automatically creates or corrects an attendance record. Our missed-scan guide gives a practical review structure.

Check the records before choosing a wider rollout

After several normal working days, ask the administrator to find the pilot employees’ records and review incomplete entries. Ask staff to explain their departure routine and where they can view their attendance history.

Confirm any shift-specific requirement with the provider rather than assuming support for every scheduling arrangement. If reports are needed, test the output offered by the intended plan and check whether the recipient can use it.

Choose a plan that fits the real team

Count the employees who need access and compare the current plan limits, billing terms and reporting options. Include the time spent maintaining the display and resolving questions when evaluating the process.
