A printed attendance code should make check-in simple. If employees must repeatedly move their phones or ask which poster to scan, the display needs attention before more staff join the process.
ScanAttendance offers QR attendance with different modes depending on the plan. Before printing, confirm that the code and display method fit your selected mode, then test the actual printout at the workplace.
Confirm that printing fits the QR mode
A permanent Static QR and a Daily QR have different replacement requirements. A Rotating QR is intended for a changing screen display; printing one image should not be assumed to preserve that workflow.
Check the product’s current instructions and your plan options. Our QR mode guide explains the operational differences before you choose a display.
Keep the entire code clear
Use the original code output rather than a cropped screenshot that removes part of the image. Keep surrounding clear space and avoid placing decorative text or a logo over the code.
Print with strong contrast and check that ink or toner has not left faint sections. There is no single print size that guarantees success at every distance; test a readable size where employees will actually stand.
Check the finished display, not only the file
A clear digital image can become difficult to scan after printing, folding or covering with reflective material. Test the finished display under normal lighting, including any protective cover you plan to use.
- Can employees see the full code?
- Does glare cover part of the printout?
- Can someone scan without stretching or blocking the entrance?
- Are unrelated customer or promotional codes clearly separate?
Pair the code with a short instruction
Identify the display as employee attendance and explain which app or account staff should use. Give a contact for problems and describe the confirmation employees should check.
Do not print private credentials or individual employee information beside a shared code. The poster should explain the immediate action, while the full attendance policy stays in the company’s approved reference.
Verify a record after the scan
Ask a pilot employee to complete the normal process and check the resulting attendance record. Recognizing an image with the camera is not the same as confirming that the intended attendance action was recorded.
If the outcome is uncertain, use the administrator’s review route rather than repeatedly assuming another scan is needed. Our missed-scan guide helps organize those questions.
Assign a replacement owner
Check the poster for damage and readability as part of the workplace routine. If the mode requires replacement, name the person and backup who will display the current code and remove obsolete copies.
