A new month does not automatically close last month’s attendance questions. Missing departure entries, late explanations and staff changes can follow the administrator into the next reporting period.

Use a short month-opening routine alongside ScanAttendance to separate new records from unfinished review work. The aim is a clear reporting boundary, not deleting history or starting employee records again.

Confirm the dates your business actually uses

A calendar month and a payroll reporting period may differ. Write down the start and end dates, correction deadline and final reviewer for the period being closed. Confirm the dates for the next period too.

Label working reports clearly. A file generated before the correction deadline should not be mistaken for the reviewed final version simply because its filename includes the month.

Carry questions forward without moving the original date

Keep each unresolved attendance question attached to the date it concerns. If an employee responds in the new month, that response does not turn the original attendance action into a new-month entry.

Review staff changes before selecting the report

Check joiners, departures and verified working-arrangement changes. Someone leaving this month may still belong in a report for last month. Confirm how your selected setup handles inactive employees before changing account status.

Our employee-list checklist helps clarify identifiers and reporting scope. Avoid recreating accounts just to make a new reporting period look tidy.

Keep a reviewed source for the handoff

If your plan includes the required export, save the agreed report through the company’s approved storage process. Record which version the reviewer should use and identify later replacements clearly.

An exported attendance file supports review; it does not automatically calculate every payroll outcome. Follow the payroll preparation checklist when preparing a separate payroll handoff.

Choose one improvement for the next period

Look at the questions that repeated last month. If staff missed departure scans, improve those instructions. If reports used inconsistent dates, fix the request format. Assign an owner and review whether that change helped.

This is a suggested administrative routine, not a claim that ScanAttendance automatically closes periods or carries review cases forward. Use the supported product workflow and your company’s approved process together.
