An attendance report is easier to review when the employee list is clear. A duplicate account, outdated identifier or unexplained staff change can make a correct attendance entry difficult to match with the person the reviewer expects.
ScanAttendance includes employee management alongside QR attendance. Use a short employee-list review to improve the records behind your next report without making rushed changes to historical information.
Check identifiers before names
Confirm which identifier your company uses to match attendance with its employee records. Names can be similar or change in presentation; the agreed identifier should help the administrator and receiving reviewer refer to the same person.
Compare a small sample against your approved employee list. Investigate differences before exporting, especially if the report will later be matched to another file. Do not silently change identifiers merely to make a spreadsheet lookup succeed.
Investigate possible duplicate accounts
Two similar records may represent a duplicate, or they may belong to different people. Check with the authorized administrator before taking action. Ask which account the employee actually uses and whether attendance history exists under either record.
Do not delete or merge records without understanding the supported product behavior and your retention process. If the right action is unclear, ask support how to handle the situation while preserving the information you need.
Review joiners and departures for the reporting period
A report for a past period may need records for someone who has since left. Likewise, a new employee should only be assessed against the working dates and arrangements that apply to them.
Confirm the intended reporting scope before changing account status. Follow your company’s access process for departures, and check how the product handles inactive employees in reports. Do not assume that removing access and removing historical records are the same action.
Check contact and organizational details carefully
Review details needed for the attendance workflow, such as the contact information used during setup. If your company uses department assignments, confirm that the selected plan and configuration support the views you intend to use.
Limit changes to verified information. Ask the responsible employee or authorized company owner to resolve uncertainty rather than guessing a department, contact number or working arrangement.
Make a short review record
- Note the reporting period being prepared.
- Identify which source was used to check employee identifiers.
- List unresolved duplicates or staff-change questions.
- Name the person responsible for each follow-up.
- Confirm when the final report selection is ready.
This is an administrative checklist you can keep in your approved internal process. It is not a claim that the software automatically performs each check or provides a particular audit workflow.
Test the resulting report
After verified updates, review a sample that includes a regular employee and any joiner or departure relevant to the period. Confirm the intended records appear and can be matched by the recipient.
Our attendance CSV checks cover the next step when working with exports. For future joiners, use the onboarding checklist to reduce confusion from the start.
