A free attendance plan is most useful when it answers a specific buying question. Can your team complete the daily routine? Can the administrator review the records? Which requirements will need a paid plan?

ScanAttendance currently lists a free plan for up to three employees, including basic QR generation and daily attendance logs. Use that small group to evaluate the workflow, while checking the current pricing page for features outside the free tier.

Choose three participants who reveal the routine

Include people who can test the intended arrival and departure process during normal working days. Avoid choosing only the person who configured the system; other employees may notice unclear instructions that the administrator overlooks.

Explain the pilot period and the attendance process that applies during it. Keep any temporary comparison with your old method clearly defined so the team knows which record is used to investigate questions.

Test normal records before unusual scenarios

Have each participant complete the expected attendance actions and review the resulting history. Confirm the correct employee and date rather than judging success only from the camera recognizing the code.

Ask the administrator to find those records and identify an incomplete entry. Note anything that requires repeated explanation so the instructions can be improved.

Keep a requirements list beside the test

Write down what a full rollout must support. Include the expected employee count, preferred QR mode and reporting output. Mark which items you tested and which still need confirmation.

The free plan should not be assumed to include every paid feature. ScanAttendance’s pricing table distinguishes employee capacities, QR options and reporting capabilities by plan.

Do not mark an unavailable feature as tested

If your business requires CSV or PDF reporting, a particular QR mode or other plan-dependent functionality, confirm how to evaluate that requirement with the provider. A successful free check-in does not establish that a separate paid reporting workflow meets your needs.

Ask the intended recipient to review a sample output where available. Our CSV checking guide explains the checks to make before using an export downstream.

Decide what justifies the next plan

Review whether the three-person routine works consistently and list the exact capacity or feature that requires expansion. Compare billing terms and included features on the current pricing page.

Use our pilot scorecard to record the decision. If the instructions still confuse employees, fix them before increasing the group size.

Turn a free trial of the workflow into a clear decision

A small pilot can establish whether your everyday attendance process is understandable. Separate those findings from requirements that still need a paid-plan demonstration or a provider answer.
