A training centre may have instructors, reception staff and administrators arriving for different responsibilities. A class register answers who attended a lesson; an employee attendance record answers a different workplace question.

ScanAttendance provides QR attendance for employees. Start with a clearly defined staff workflow rather than assuming a workplace attendance system also manages student enrollment or class participation.

Define the employee group

Identify the staff whose workplace attendance you want to record. Confirm the agreed working arrangements for each person, including who approves changes. A teaching timetable should not automatically be treated as an employee’s entire working schedule.

Check the employee capacity on your intended plan before adding the wider team. Keep student information out of the employee setup unless the provider has explicitly confirmed a suitable, separate use case.

Choose a staff check-in point

Place the code where employees can use it without interrupting reception or student access. Label it clearly so it is not confused with an enrollment, payment or classroom code.

Test arrival and departure steps during a normal working day. Ask staff to complete the process without coaching and confirm the expected record appears for the right account.

Separate attendance from teaching delivery

An arrival record does not establish that a class was delivered, a lesson objective was met or a student attended. Keep those questions in the appropriate academic and operational processes.

Similarly, do not assume support for every part-time or split-day arrangement. Ask the provider to demonstrate any scheduling requirement your centre depends on before choosing a plan.

Give schedule exceptions an owner

Our missed-scan guide helps structure that internal review. The checklist is a suggested management process, not a claim that the software automatically approves requests.

Review the staff report your administrator needs

Agree on the reporting period and employee group. If an export is required, verify the option on the current plan and have its recipient inspect a sample. Keep employee reporting separate from student registers.

Use our report request checklist to define the handoff. Clear scope makes it easier to judge whether the attendance workflow fits the centre.
